Job Description:
Job Description PURPOSE The Administrative Assistant provides
administrative support to ensure efficient operation of the
office(s). The administrative assistant exhibits polite and
professional behaviors and communication via phone, email or when
greeting customers, employees, vendors, potential business
partners. DESCRIPTION OF DUTIES Primary Duties and Responsibilities
-- Answer phone calls and provides information to callers, take
messages, and/or transfer calls to appropriate individuals,
schedules meetings and supports visitors. -- Greets visitors and
handles their inquiries and/or by directing them to the appropriate
persons according to their needs. -- Maintain all representative
payee paycheck stubs, make copies, and provide copies to Social
Security Administration monthly. -- Maintains all other individual
state documents; to include filing and recordkeeping of these
documents. -- Distribute and reconcile petty cash disbursements and
individual requirements monthly. -- Distribute client trust cash
per the individual---s service plans and reconcile cash at the
beginning and end of each month. -- Maintains files and documents
to track all client trust petty cash transactions thoroughly and
accurately. -- Record, distribute and deliver organizational
contracts to Sierra Regional Center twice weekly on Tuesdays and
Fridays. -- Provides and carries out general
clerical/administrative duties as needed including but not limited
to filing, preparing correspondence and memoranda, faxing, copying,
and maintaining responsibility and open, read, route and
distribution of all incoming and outgoing mail. -- Ensures
operation of all equipment by completing preventive maintenance
requirements, calling for repairs, maintaining equipment
inventories and evaluation new equipment techniques. -- Maintains
supplies for Office and Facilities and completes order forms as
needed to ensure constant inventory; toilet paper, coffee, office &
desk supplies, etc. -- Ensures knowledge of staff movements in and
out of organization. -- Maintains calendar schedule for occupancy
of the Conference Room. -- Supports teams and department managers
by performing tasks related to the organization and strong
communication. -- Maintains and assists with areas looking clean
and tidy such as lobby areas, conference room and break room. --
Aids in new program development and fundraising as needed.
Secondary Duties -- Perform other duties and special projects as
assigned. -- Cross train in Accounts Payable and Accounts
Receivable. For purposes of the Americans with Disabilities Act

---Secondary--- represents ---Nonessential---. QUALIFICATIONS: --
High school diploma or equivalent. -- At least 18 years of age. --
Knowledge, familiarity, and experience with Microsoft Office
software including Word and Excel. -- Minimum one year office
experience. -- Basic knowledge of office equipment. -- Excellent
verbal and written communication skills. -- Ability to effectively
communicate both orally and verbally with co-workers, the public
and other professionals. -- Organizational, problem-solving, and
analytical skills; able to manage priorities and workflow. --
Ability to work independently and as a member of various teams and
committees. -- Attention to detail and problem-solving skills.
REQUIREMENTS: -- Ability to perform some repetitive motion
activities. -- Ability to deal effectively with a diversity of
individuals at all organizational levels. -- Ability to communicate
effectively and directly (written and oral). -- MS Office software
skills --- minimum ---Intermediate--- user. -- Demonstrated
commitment to the mission and philosophy of Disability Resources.
-- Required to bend, squat, and lift 25 pounds or more, twist and
turn, required to reach overhead into cabinets as needed. (Please
see the physical requirements below). -- Valid Driver---s license
and current automobile insurance and registration. -- Clean
criminal background check. -- High level of motivation. --
