Job Description Company Description St. Louis Estate Planning, LLC is a small but expanding estate planning law firm located in Kirkwood Missouri. We have been in business for 10 years. We pride ourselves in being a different kind of law firm, please check out our website. We are looking for a full-time Client Care Coordinator (CCC). This position is significant as the CCC is the first person our clients interact with and that experience must be genuine and positive. All candidates must be detail-oriented, able to think quickly and multi-task. They must be friendly, kind, empathetic, and be able to have lengthy conversations with potential clients, when required. Role Description · Handle all initial client communications via phone and email · Follow phone call script to ensure all needed information is obtained · Return client calls within 24 hours · Send client initial emails, using template · Enter clients into our client management database (Clio) · Keep notes in Clio for every single client interaction · Maintain our calendar and keep client appointments up to date · Document changes/notes in Microsoft Planner (temporary notes) · Email client appointment reminders · Ensure witnesses are secured for document signings · Update witnesses, notary and dates of signing documents · Follow up with clients when they call to reschedule · Handle all Decision Vault client questionnaires Qualifications · 4-year college degree · Strong Interpersonal Skills with an emphasis on relationship-building and empathy Phone Etiquette and Communication skills for effective and professional client interactions Commitment to delivering high standards in Customer Satisfaction and Customer Service Organizational skills and attention to detail is a must Proficiency in relevant software (e.g., Microsoft Office Suite, excel) and CRM systems is a plus Ability to work independently and as part of a team in an office environment Prior experience in client care or customer service is beneficial but not required Candidate must have the following characteristics: highly organized, great at multi-tasking, friendly, kind, team oriented, can pivot and handle stressful situations at times
